Recommended Date for Visa Support Letter Requests: August 31, 2026
This is not a hard deadline; requests submitted after this date will still be accepted. However, visa processing in some countries can take up to three months, so we strongly recommend submitting your request by August 31 to allow sufficient lead time.
RTSS 2026 - Visa Letter Request Form

INSTRUCTIONS
To obtain a visa to attend the 2026 IEEE Real-Time Systems Symposium (RTSS 2026), many embassies will require a visa letter as part of the visa application process. In order to request a visa support letter from the conference organizers, you MUST meet one of the following criteria:
- Have a paper accepted for presentation at the conference (either conditionally accepted or accepted).
- Have registered AND paid in full the applicable registration fee for the conference. Before issuing the visa letter, the organizers will check that this requirement is met. Thus, please use the same email address in this form as the one you used for your RTSS 2026 registration. To start the request process, please fill out the request form in its entirety, then click the “Submit” button. Your request will be reviewed and if approved, the visa letter will be sent to you as a PDF attachment via email.
PLEASE NOTE
- Request for hard copy version of the letter will not be accommodated.
- The organizers can only issue the visa letter for this conference (RTSS 2026). No other kind of documentation will be provided for use of visa applications.
- Processing may take 7–10 business days.
Our staff in Japan will be on summer vacation from August 8 through 18, so we will respond to inquiries starting August 19.

RTSS 2026 organizers cannot change the decision of the Japanese embassy or any other government departments, nor will we appeal to the embassy on behalf of the applicant.
